What’s new? v4.89 — Share a PDF with your client, and a shorter document menu

Sharing with an outside party appeared on 219 of 737 documents and left out 167 PDFs. You can now share a PDF or an image, and a document’s ⋮ menu drops from sixteen options to twelve.
v4.89.0 — Sharing with a client now works for PDFs, and the document menu gets lighter
“We used to have a way to share a document with an outside party… I can’t see that option anymore.” It hadn’t gone anywhere: it never showed up on the file you were looking at.
The option checked against a list of six Office formats, and not by policy: the page the outside party sees could only load the Office editor. Measured on real installations, out of 737 documents, the option appeared on 219. And of the ones left out, 167 were PDFs, exactly the format you send a client.
You can now share a PDF and an image too, and whoever opens the link sees the document on the page instead of having to download it. Password, expiry and the open-count limit work as before.
With one caveat we would rather state than have you discover: a PDF or an image is shared view-only. Asking for edit permission on them is rejected when the link is created; promising edits and delivering a read-only viewer is worse than saying so up front.
A document’s menu goes from sixteen options to twelve
Over time the ⋮ menu on a document piled up sixteen actions. Four of them are authoring work: done once every many documents, almost always by an administrator, yet taking up a permanent row for everyone else.
Worse, two said almost the same thing. “Convert to template” and “Save as format” end up in the same catalogue, and the only difference, whether it goes through the AI, was written in the tooltip of one of them. A tooltip is not a label: nobody reads it before choosing.
The four now live behind a single entry, “Formats and templates…”, and inside each option says what it produces: save it as-is as a format or clean it up with AI and save it. It is the same principle 4.86.0 used for “Use Prompt” versus “Analyze with AI”: label by the result, not by the mechanism.
And comments on a lead now save
The screen offered commenting on a lead or an opportunity, you wrote the comment… and the server rejected it. It also affected quotes, invoices, taxpayers, CFDIs and inventory. It works now.
