What’s new? v4.85 — From the recorded meeting to the minutes, and from the minutes to the plan

A transcript is sixty pages nobody will read; what gets circulated after a meeting is the minutes. Now they come out in your company’s format, ask about what they don’t know instead of making it up, and their commitments become tasks in the work plan.

Uploading a meeting recording and getting its transcript already worked. But a transcript is raw material —sixty pages of conversation nobody is going to read—, and what gets circulated after a meeting is the minutes. Mid-size and large companies, on top of that, have their own format for them.

Now, once the recording is transcribed, its menu shows “Generate minutes”: they are drafted section by section in the format the firm has loaded. If the administrator uploaded the company’s .docx with its blanks, the minutes come out in that format —cover page, tables and headers preserved—, not in a similar-looking one.

What the system doesn’t know, it asks

The transcription service labels voices by stretches of audio and does not identify people: the same person gets several labels over the course of a meeting, and a recording of three people can report fourteen “speakers”. So before generating the minutes it asks who attended and, optionally, who each voice is —sorted by how much they speak and with an excerpt to recognize them without listening to the audio again—. For the voices that are identified, the minutes can say who committed to what.

And whatever nobody confirms is not filled in with the best guess: it comes out as [POR CONFIRMAR] (to be confirmed). Minutes get circulated and people hold you to them, so an invented owner is much worse than a blank. For the same reason, a deadline stated in words (“next week”) is not turned into a specific date nobody agreed on.

Measured on the same real meeting: without identifying the voices, 4 of 8 commitments came out with an owner; identifying them, 7 of 7.

The loop closes in the work plan

The commitments in the minutes can be turned into tasks: you review the list, correct owners and dates, uncheck what doesn’t apply, and they are created in a single operation that can be undone. Each task carries the quote from the meeting and the link to the minutes, so a month from now “what was this?” gets answered without asking anyone.

Along the way we fixed something that affected all generated documents: the marker the system uses to cite its sources contains a vertical bar and, inside a table, it split the row; the next column showed half a citation.

No migrations. The action appears on recordings that are already transcribed, when the firm has a minutes format loaded.
