The well-ordered digital case file: find the page in seconds

Names, folders, OCR, versions and tags: seven practices so your firm’s digital case file can be searched in seconds, not hours.
Every lawyer knows the scene: the hearing is tomorrow, the service receipt is “somewhere,” and there are three files called final_complaint_v2. The problem is rarely a lack of documents; it is that nobody knows which one is current or where it lives. A well-ordered digital case file shows at 8 p.m., the night before a hearing.
1. One naming system for the whole firm
Pick a pattern and always use it: date as year-month-day, document type, and subject. For example, 2026-10-14 Court order - admits complaint.pdf. Sorted by name, the file falls into chronological order on its own. Avoid “final,” “definitive” and “new”: they stop meaning anything by day two.
2. The same folder structure in every matter
If every matter has its own logic, only the person who built it can navigate it. Define one structure per type of matter and do not change it on a whim:
- Your own filings (complaint, answer, appeals).
- Court actions (orders, notifications, hearings).
- Evidence.
- Contracts and client documents.
- Correspondence.
More than three levels of depth does not help: besides making navigation tedious, long paths cause trouble in the Windows file explorer.
3. Digitize well, once, and run everything through OCR
A scan that is only an image cannot be searched: it is a photo of a piece of paper. Scan at a legible resolution, check that no pages are missing or crooked, and apply optical character recognition (OCR). The test is simple: open the PDF and try to select or search a word. If you cannot, the document is not yet ready to let you find the right page in seconds.
4. One current version, with history kept as versions
When someone corrects a filing, another file should not appear; a new version of the same one should. That way the team always opens the current one, and the previous one remains available for comparison. If you work in shared folders, agree on who saves the final version and how it is named.
5. Tags for what cuts across matters
A folder answers “where did I put it?” But some questions cut across matters: “what is pending signature?”, “which notifications arrived this week?” That is what tags are for: a document lives in one folder and can carry several tags. Define few, with clear names, and make everyone use the same ones.
6. An index of the key pieces
In a long matter, keep a short list of the most consulted documents —the complaint, the order admitting it, the latest notification, the base contract— with the page or reference where they appear. It is what you hand a junior lawyer the day you change matters, and what saves you from rereading the entire file.
7. Retention and backup, with judgment
A digital file is only as reliable as its backup: define where the copy lives, who makes it and how often. And if you digitize paper documents that you will keep or submit as evidence in Mexico, it is worth knowing NOM-151-SCFI-2016, which is in force and sets the requirements for preserving data messages and digitizing documents; the preservation certificate with a time stamp is issued by a Certification Service Provider accredited by the Ministry of Economy. If this applies to you, check the Ministry’s portal for the current list of providers before hiring one.
How it looks in Iurefficient
These practices are independent of any tool, but they get easier when the system respects them. In Iurefficient, the document manager has a Folders panel on the left, a search box and filters by type and case on top, and card or list views. (The screenshot shows the Spanish interface.)

According to the product documentation, each project can have its own folders up to three levels deep; deleting a folder never deletes documents (what it holds moves up to the project root); a document can carry several tags; the same document can belong to several projects; and scanned files go through OCR so they can be searched. An edited document is saved as a new version instead of generating another file.
